Duties

The Administrative Coordinator, Digital Engagement will coordinate team projects and processes, including but not limited to the Wharton Webinar Series, alumni websites, apps, and online programming. The incumbent will work with and provide comprehensive administrative support to the Digital Engagement team, reporting directly to the Senior Associate Director, Digital Engagement. The position works collaboratively as a member of the Alumni Relations team and the larger Coordinator team across External Affairs and will assist with team and office-wide needs, including but not limited to:* Update and maintain the alumni relations web presence, including overseeing the alumni LinkedIn group, making content updates to alumni websites, and managing the creation of mobile apps.* Support marketing and execution of the Wharton Webinar Series.* Serve as a lead member of the alumni relations virtual help desk team and responsible for the management and completion of all alumni inquiries during assigned help desk days.* Support the Global Clubs team in the management of the NationBuilder website platform, including providing support and training to club volunteers.* Process financial paperwork for payment to vendors as well as manage ProCard for the department.* Process expenses and have responsibility for reconciliation of the Digital Engagement portions of the budget. * Help staff Wharton events, including occasional evenings and weekends.

Qualifications

  • A High School Diploma or GED and 5 years to 7 years of experience or equivalent combination of education and experience is required, bachelor’s degree strongly preferred. - 1 to 3 years’ experience in customer service oriented environment involving the use of technology desired.- Demonstrates a high level of comfort with technology usage and willingness to learn the functionality of new platforms.- Experience with HTML and CMS tools.- Demonstrated knowledge of Office Suite, strong excel skills required. Working knowledge of Adobe creative suite desired.- Excellent project management, writing, and communication skills.- Ability to gather and articulate user requirements between functional users and technical staff.- Experience in serving volunteer organizations and understanding of volunteer perspective.- Must be detail oriented and able to handle multiple projects simultaneously.- Understanding of international cultures, confidence and maturity to work with senior business alumni.- Effective at handling international and domestic relationships remotely.- Valid driver’s license required.
