School/Center Overview

The Division of Finance is responsible for an array of centralized financial functions of the University. Our various departments are responsible for administrative services that support financial accounting and disbursement activities, research administration, external and internal investments, cash and debt management, risk management and student registration and financial aid.


The Office of the University Registrar is part of the Student Registration and Financial Services team. The office plays a central role in the Next Generation Student Systems project (NGSS) and aims to modernize its systems and methods of supporting the academic mission and community of the University of Pennsylvania. To drive the success of this ambitious project we are rapidly growing an energetic, positive, and forward thinking team.Reporting to the University Registrar, the Assistant Registrar, Academic Services performs a wide variety of tasks and projects supporting the academic and enrollment services and the compliance responsibilities of the office and university. The academic services functions include overseeing the daily operations of the office and leading a staff of four to deliver world-class customer service. The incumbent will partner with OUR, SRFS, and staff across the university to modernize our business processes, introducing efficiencies and making improvements in customer service. The compliance functions of the position include monitoring data and process to ensure compliant enrollment and record keeping practices across the university. The incumbent will be comfortable using data to understand current practices across all areas of study at the University and will work to bring business practices, policies and procedures into alignment with compliance expectations for athletes, reporting to the National Student Clearinghouse and NSLDS, and the Veterans Administration. This work will include development, implementation and refinement of policies and procedures such as student withdrawals and leaves of absence from the University. The Assistant Registrar, Academic Services will assist in setting priorities and promoting the overall vision of the Office of the University Registrar. The incumbent will represent the office on relevant committees and working groups across campus.Interprets and implements enrollment policies in accordance with NCAA and Ivy League regulations. As a records and registration custodian, complies with all policies and procedures in accordance with all U. S. Department of Education, FERPA, state and university regulations.Develops procedures and policies to monitor and ensure compliance with all NCAA, Ivy League, NSLDS, FERPA, U. S. Department of Education, state and university regulations.Track, report and analyze student record data across multiple systems to monitor for compliance with university policies and government regulations.Partner with other offices in Student Registration and Financial Services and across the University to support their efforts to monitor students for progress toward degree completion, academic standing, and satisfactory academic progress.Initiate proper access and provide training to specific computer and reporting systems to support other staff performing student athletic-eligibility review.Develop and update correspondence relating to office operations and compliance including web content development and documentation when needed.Serve as the Registrar’s representative on committees and working groups as needed. Member of the School Registrar Working Group.Perform other compliance duties as requested/needed.Perform enrollment activities for the Registrar’s office and partner with other staff to comply with NCAA regulations, National Student Clearinghouse reporting, resolving NSLDS issues, Roster Verification Processing and University Withdrawals. Counsel parents (families) and students in understanding and resolving enrollment issues.Possess a working knowledge of integrated student information systems.Be committed to delivering the highest quality customer service.Perform other duties as assigned.


A Bachelor’s Degree and 2 years to 3 years of experience or equivalent combination of education and experience is required; 5 to 7 years of experience preferred.Five or more years of experience in higher education and previous supervisory experience.Must have strong oral, written, and interpersonal skills and be able to motivate others and resolve complex problems with diplomacy, tact, and sophisticated negotiation skills.Must be able to communicate effectively and with authority to diverse faculty, staff, and student body regarding relevant policies.Accuracy and attention to detail is crucial.Experience working with databases, reporting and workflow systems and must have the willingness and ability to become proficient in a complex systems.
